Privacy Policy
ILast updated: 2nd November 2026
1. Who we are
Future Fit Females™ is a trading name of Espinets Services Pty Ltd (ABN 33 662 079 361), based in Perth, Western Australia. In this policy, "we", "us" and "our" mean Espinets Services Pty Ltd. Charlotte Mawle is the founder and the person responsible for privacy.
We respect your privacy. This policy explains what personal information we collect, why we collect it, how we look after it and what your rights are. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
2. The information we collect
We only collect what we need to provide our programmes and services and to stay in touch with you. Depending on how you use our website and services, this may include:
Contact details: your name, email address, phone number and, where you give it, your LinkedIn profile
Professional details: your role, organisation or business, and the career questions you bring to coaching
Your answers to the Future Fit Scorecard, the Future Fit Assessment, our forms and our application questions
Payment and invoicing details: what you've bought and how you paid. Card details are handled by our payment provider and we never see or store your full card number
Booking details: the sessions and calls you book
Coaching information: notes from sessions and the goals and plans we agree with you
Website information: how you use our website, collected through cookies (see section 9)
Health information. Our coaching covers strength, energy and perimenopause, so you may choose to tell us about your health, for example in an application form, a questionnaire or a session. Health information is sensitive information under the Privacy Act. We only collect it with your consent, only when it's relevant to your coaching, and we treat it with extra care. You never have to share health information to use our website or join our mailing list.
We don't knowingly collect personal information from anyone under 18. Our services are designed for adults.
3. How we collect it
We collect personal information directly from you when you:
complete the Future Fit Scorecard or the Future Fit Assessment
fill in a form on our website, such as joining a waitlist or registering interest
book a call or a session, or apply for a programme
buy a programme or service
take part in coaching sessions, programmes, online lessons or events
email us or contact us on social media
If someone else gives us your details, for example an organisation arranging coaching for you, we'll let you know and handle your information in line with this policy.
You can contact us without giving your name. But we usually need your name and email address to provide a programme, booking or service.
4. Why we use it
We use your personal information to:
provide the programmes, coaching sessions, courses and events you sign up for
recommend the programme that best suits you, based on your Scorecard and Assessment answers
respond to your enquiries, applications and bookings
take payments, issue invoices and keep the business records the law requires
send you the information you've asked for, such as waitlist updates
improve our programmes, content and website
We only use your information for another purpose if you agree, if you would reasonably expect it, or if the law requires or allows it. We never sell your personal information.
Health information is used only to tailor your coaching. It is never used for marketing, and we never share it with your employer or anyone else without your express consent.
5. Emails and marketing
We only send you marketing emails if you have agreed to receive them, for example by ticking the consent box on our forms. Every email we send includes a simple way to unsubscribe, and you can also ask us to stop at any time by emailing [your email address]. We follow the Spam Act 2003 (Cth).
6. Who we share it with
We use trusted service providers to run our business. They handle your information only to provide their service to us:
Squarespace: our website, forms, online courses and bookings
ScoreApp: the Future Fit Scorecard
HubSpot: our contact records, landing pages and emails
Calendly: booking calls
Stripe: card payments
Xero: invoicing and accounts
Google Workspace: email, documents and storing form responses
Thinkific: online programme lessons
We may also share your information:
with a coach who delivers part of a programme you have joined, such as a strength and conditioning coach, and only what they need to do that
with your organisation, if it is paying for your coaching, but only the details needed for invoicing and anything you agree to share. What you tell us in coaching stays confidential
with our professional advisers, such as our accountant or lawyer
where the law requires it, or to prevent a serious threat to someone's life, health or safety
7. Information stored overseas
Some of the service providers listed above store information on servers outside Australia, mainly in the United States, and also in the United Kingdom, Canada and New Zealand. We choose reputable providers with strong security and privacy practices, and we take reasonable steps to make sure they handle your information in a way that's consistent with the Australian Privacy Principles.
8. How we keep it safe
We store your information with the service providers listed above, which use encryption and secure data centres. We protect our own accounts with strong passwords and two factor authentication, and only people who need your information to work with you can see it. Paper notes from sessions are kept secure and destroyed once they're no longer needed.
We keep personal information only for as long as we need it for the purposes in this policy, or for as long as the law requires (for example, financial records are kept for seven years). After that, we securely delete or de-identify it.
If a data breach is likely to cause you serious harm, we will tell you and, where required, the Office of the Australian Information Commissioner, and take steps to limit the harm.
9. Cookies and analytics
Our website uses cookies, which are small files stored by your browser, to make the site work and to understand how visitors use it, for example which pages are visited most. This information is grouped together and doesn't identify you. You can block or delete cookies in your browser settings, though some parts of the site may then not work as well.
10. Automated recommendations
When you complete the Future Fit Scorecard, a computer program uses your answers to suggest which of our programmes may suit you best. It doesn't decide whether you can join anything: every programme remains open to you, and you can always talk to us directly. No decisions that significantly affect your rights or interests are made by a computer program alone.
11. Accessing and correcting your information
You can ask to see the personal information we hold about you, and ask us to correct it if it's wrong, out of date or incomplete. You can also ask us to delete it. Email [your email address] and we'll respond within 30 days. We won't charge you for making a request. If we can't give you access or make a change, we'll tell you why in writing.
12. Questions and complaints
If you have a question or a concern about how we handle your personal information, please contact us first:
Charlotte Mawle, Espinets Services Pty Ltd Email: charlottemawlecm@gmail.com Post: Level 2, 35 Havelock Street, West Perth, 6005, Western Australia
We'll acknowledge your complaint within five working days and aim to resolve it within 30 days.
If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
13. Changes to this policy
We may update this policy from time to time, for example when we add a new service. The latest version will always be on this page, with the date it was last updated at the top.
